BuildingHQ

For buildings with more going on than rent

Run the whole building.
Not just the rent roll.

One workspace for independent apartment owners and property teams managing 20 to 250 units: leases, arrears, maintenance, vendors, residents, visitors, parking and inspections — instead of spreadsheets, inboxes and group chats.

Beyond the rent roll

The rest of running a building.
In the same system.

Most landlord software stops at rent and leases. An apartment building does not. The front desk, the shared spaces, the inspections and the vendors live in BuildingHQ beside the ledger, so nothing is kept in somebody's head or a group chat.

The front desk

Parcels with custody, keys and fobs, expected guests and QR visitor passes, visitor parking, and a shift log that hands over properly.

Shared spaces

Amenity bookings by the hour, waiting lists for parking bays and storage cages, and house rules published where residents will find them.

Evidence, not memory

Inspections with photographs, a photo album for every home, notices with the reply and the appeal attached, and violation fees recorded against the lease.

Vendors with their own desk

A maintenance company gets a free workspace for the jobs you assign it. Updates, photos and completion flow back to the work order and to the resident.

One leak. One record. Three people who can see it.

  1. 01A tenant reports the leak from the portal, with a photo.
  2. 02The manager assigns the plumber in two clicks.
  3. 03The plumber updates the job from their own desk.
  4. 04The tenant sees the status. The history stays on the unit.

No forwarded email, no group-chat thread, nothing retyped.

One source of truth

Work flows.
Nothing falls through.

About us

Built by people who
manage buildings.

BuildingHQ began as software for one landlord who was tired of running a building out of spreadsheets, notebooks and a phone full of photographs. It grew into the workspace a whole property team can share.

One thing we are deliberate about: we record money, we do not move it. Rent, fees and deposits are settled between you and your tenants, however you already do it. BuildingHQ writes down what was agreed and what arrived — it never holds your money or takes a cut of it.

More about us
  • 10languages — a manager works in English, one tenant in French, another in Arabic, in the same building
  • 1workspace for landlords, tenants and maintenance firms
  • 0commission on your rent — you pay for the software, nothing else

More than a rent ledger.

Bring the people, payment evidence and everyday building work into the same routine.

Invite tenants for free

Email an invitation so residents can report rent and receipts without buying a plan.

A connected building

Private and group conversations, unread badges and approved parking advertisements keep neighbours informed.

Payment evidence in one place

Card-free subscription payments can include a photo or PDF receipt for admin review, when manual payment is enabled.

One business, one shared plan

Own and rent properties with one login. Link eligible accounts for the same business under one paid plan, with a combined unit allowance and separate records.

Switching is our job, not yours

Send us the spreadsheet.
We set up the building.

Moving eighty units, their tenants, leases and balances is why most teams never switch. So we do it with you: send the spreadsheet or the export from your current system, and your buildings, units, renters and leases are in place before the trial clock starts.

Prefer to do it yourself? Import CSV and XLSX files, Google Sheets, and Buildium or DoorLoop exports from inside the app.

  • 1free portfolio migration, done with you
  • 30days of trial, no card, the clock starts after the data is in
  • 1setup call with the people who build the product

Questions, answered

Before you start.

Still curious? Email us.

Who is BuildingHQ for?

Independent apartment owners, family portfolios and small property-management companies, typically 20 to 250 units, often with a superintendent or maintenance staff. Smaller landlords are welcome on Starter; the operations features earn their keep as a building grows.

Can I import existing data?

Yes. Portfolio and Scale plans import CSV and XLSX files, Google Sheets, and Buildium or DoorLoop exports: buildings, units, renters, leases, rent and deposits. If you would rather not do it yourself, send us the file and we set it up for you.

Does BuildingHQ collect the rent?

No, deliberately. Rent, fees and deposits are settled between you and your tenants the way they already are: bank transfer, card terminal or cash. BuildingHQ records what was agreed and what arrived. There is no commission on rent, and nothing sits between you and your money.

How does the free trial work?

Explore BuildingHQ for one month without a credit card, then choose a paid plan to continue.

Can I cancel?

Yes. Cancel before renewal in Stripe’s customer portal. Access continues through your paid period.

Is payment information secure?

Stripe processes payment details securely. BuildingHQ does not store card details.

Already paying? Use your existing account

You do not need a new account for every property or role. Switch to the property account you own, then open Account → Settings and enable Landlord, Tenant-company books, or both. Add your owned properties and rented properties there under the existing subscription and its limits. This does not start another trial. Currency stays fixed; enabling a workspace here does not offer a switch to disable it later.

Choose how your new account is billed

Choose Create another account from the user menu or account chooser. Select a property account, name it and enable owned properties, rented properties, or both. If you already own an eligible paid account, its subscription is selected by default: confirm both accounts belong to the same business and use the same currency. The new account shares paid access immediately after setup. Choose an independent trial for a separate business; it needs its own plan after 30 days. Your login and free tenant access stay the same. Creating an account does not charge you.
